This Privacy Policy describes how experTribe LLC ("experTribe," "we," "us," or "our") collects, uses, and protects information when you use GrantMinder. By using GrantMinder, you agree to the practices described in this policy.
This policy applies to organizations and their members who access GrantMinder through grantminder.app or the GrantMinder API. If you are visiting grantminder.com without an account, the section on Website Visitors applies to you.
We do not purchase or acquire personal data from data brokers or third-party sources.
We use your information to operate your account, deliver platform features, process payments, and respond to support requests.
Your organization's data is used to improve your own grant submissions over time. The more you use GrantMinder, the better it understands your organization's voice, priorities, and funding history. Those improvements belong exclusively to your organization.
We analyze anonymized patterns in platform usage, including grant outcomes, pipeline activity, and feature engagement, to improve recommendations and performance for all users. Only anonymized patterns, trends, and outcomes contribute to this platform-wide learning. Your tenant documents, as defined in our Terms of Service, are never shared with other organizations.
Platform-generated intelligence about your organization, also defined in the Terms, may be retained in anonymized form after your account ends, so that it cannot reasonably be used to identify your organization. This retained material is used to improve platform performance for all users.
We use your email address to send account notifications, billing receipts, subscription updates, and product announcements. You may opt out of product announcements at any time. Transactional and billing communications cannot be opted out of while your account is active.
We use IP addresses, session data, and audit logs to detect and respond to unauthorized access, abuse, and security incidents.
We may process and retain certain data as required by applicable law.
To operate GrantMinder, we share limited data with third-party service providers. Each is contractually required to protect your data and may only use it to provide their service to us.
We use a third-party AI API to power writing and analysis features. When you use these features, relevant session content is sent to this provider for processing. Our AI provider does not use API inputs to train its models by default.
Payments are processed by a PCI-compliant third-party payment processor. We do not store credit card numbers or payment method details.
Transactional and billing emails are delivered through a third-party email service provider. Your email address and the content of platform notifications are processed by this provider solely for delivery purposes.
Your data is stored in encrypted databases and processed on cloud infrastructure operated by third-party providers under data processing agreements with experTribe LLC. Data is encrypted at rest and in transit.
We use a third-party tool for error monitoring and usage analytics. Only metadata is sent to this service. Grant application content, organizational narratives, and profile data are never included.

We implement technical and organizational measures to protect your data, including encrypted data transmission, encrypted data storage, role-based access controls that limit what each member of your organization can see and do, API key authentication with hashed storage, and audit logging of platform activity.
No system is completely secure. If you believe your account has been compromised, contact us immediately at support@grantminder.app.
We retain your organization's data for as long as your account is active.
When your subscription ends, three things happen. First, your tenant documents are available for export during a 14-day read-only period. Second, after the archive period, factual identifiers and financial data are deleted from any retained records. Third, platform-generated intelligence is retained only in anonymized form, so that it cannot reasonably be used to identify your organization.
You may request deletion of identifying data at any time. We retain audit logs and billing records for up to 7 years as required for financial and compliance purposes.

Exports include tenant documents. Exports do not include platform-generated intelligence, which is retained in anonymized form as described in Section 7.
If you are a member of an organization using GrantMinder and you want your individual information removed (your name, email, role, and member-level activity), please contact your tenant administrator first. Your administrator manages the member list for your organization.
If your tenant administrator declines and you have a legal basis for the request under applicable law, including the GDPR or a state privacy law, contact us at support@grantminder.app and experTribe will process the request directly.
To exercise any of these rights, contact us at support@grantminder.app. We will respond within 10 business days.
If you visit grantminder.com without an account, we collect standard web server logs including IP address, browser type, and pages visited. We use this information only to understand general traffic patterns and maintain site security. We do not use tracking pixels or behavioral advertising on our marketing site.
GrantMinder is designed for use by organizations and is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors.
We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top and notify active subscribers by email at least 14 days before material changes take effect. Your continued use of GrantMinder after the effective date of any change constitutes acceptance of the updated policy.
